Operate and manage the CAFM system to track work orders, preventive maintenance scheduling &
updating and closings.
Monitor the call lists on CAFM for incoming work requests and ensure that Service Level Agreement (SLA)
priority assigned by the Help Desk is justifiable, given the work content details, and change if required.
Monitor the PPM workloads to ensure that any non-priority works that is missed during the month is
identified and follow-up to complete.
Coordinate with stores the requirements to ensure timely ordering, delivery and issuing of spares and
materials to ensure KPIs are met, progressing and following overdue items.
To create accurate input for assets into CAFM system for data records and reports in accordance with
company asset management policy.
Coordinate with maintenance teams and help desk operations to ensure timely and efficient execution of
maintenance activities.
Generate and analyze reports from the CAFM system to monitor performance, identify trends, and support
decision-making.
Maintain accurate records and documentation of all maintenance activities, schedules, and system data.
Support the continuous improvement of maintenance planning and scheduling processes through datadriven
insights.
Ensure compliance with all relevant safety, health, and environmental regulations.
Overall coordination of CAFM system and related processes with other stakeholders to ensure the timely
requirements are meeting with SLA.
Ensure that the Asset Register is up to date regarding additions, deletions and changes, in particular
those created through New Works.
Ensure all assets are assigned to their correct location and data field sets.
The relevant maintenance plans are applied to assets as defined.
The correct task descriptions are linked to all maintenance plans as defined
All work carried out by in-house staff and Contractors, for both planned maintenance and reactive, is
recorded against the appropriate asset and that all spares and materials used are recorded against the
correct asset.
All Staff resource lists are kept up to date on the CAFM Systems.
In conjunction with management, prepare randomly selected lists of reactive and PPM work for the
purpose of quality checks and carries out physical quality checks, and document findings, taking corrective
actions as required.
To produce performance reports and review to ensure that any unacceptable performance levels cannot
be improved through changes to workload planning and scheduling.
Company/project specific CAFM application will have trainings conducted to ensure the first week is for
familiarization session.
Coordinate with CAFM developer for smooth continuation of the system and time to time updates/bug
fixings.
Coordinate with CAFM developer for various uploads (single/bulk) data files of workflow.
Attend meetings and workshops.
Ad-hoc duties as and when requested.
Conduct trainings to end-users of relevant modules/sub-modules of CAFM system.
